Improve Control of Content Visibility by Collection in Workday
(Increase Metadata Tags on Percipio Content)
Our Skillsoft courses feed into our LMS (Workday Learning) as our source of truth. While we have the "Business Advance" collection for all staff, we also have a limited number of licenses for the "Codecademy Expert" content. The process has proven to be a poor user-experience with Percipio for our staff who do not have one of these licenses but have visibility to the course in Workday. It takes several clicks to get to a screen that ultimately tells them they don't have a license. We believe with a minor change by Skillsoft, this poor user-experience can be remedied.
Ultimately, we want to utilize Workday's delivered functionality to secure these courses so that users without licenses cannot even see the Codecademy Expert content in Workday. The way Workday's delivered functionality works is we can secure content by "Topic". We have no other functionality to edit or configure external content (aka Percipio content) except by Topic since we have no edit capabilities for that content. Workday allows external content to be mapped by Tag to Topic (see screenshot 1 with a sample mapping of Codecademy tags). Because this functionality is inherent to Workday, this same issue applies to all Skillsoft customers who utilize Workday.
Based on feedback from business analysts at Skillsoft, the "Tags" in Workday are actually the metadata of the course from Skillsoft. This metadata appears to contain attributes like "Area", "Subject", and Language as defined on the Codecademy Expert Asset List. (see screenshot 2) comparing the Asset List to the Tagging in Workday)
Our Customer Success Manager from Skillsoft provided the following two options that do not work for us:
- Option 1: Remove the license pool from the content feed which will not report on activity in the learner transcript. Learner activity is captured in Percipio. Professional Services could work with you on creating consolidated reporting.
- This option does not work because we need the learner transcript to update in Workday as that is our source of truth.
- Option 2: Run the all content by collections report, manually hide all assets in Workday only listed in the Codecademy collection (remember that some assets crossover collections, so don't just filter out by collection), this would need to be reviewed monthly to be safe.
- This option does not work because we do not have any options to manually hide individual external assets in Workday.
Our ask is that the metadata be expanded to include the "Collection" attribute as it appears on the Asset List, so we can configure our Workday tenant to map the Collection to the Topic we create, instead of having to list of every "Area" attribute on the mapping (which also is not a complete fix as some Areas span Collections). This change will allow for a far better user experience for our employees resulting in fewer system complaints.
